Contract type: Fixed Term Contract - 12 months

The Wellcome Trust is a global charitable foundation. We improve health for everyone by funding science, leading policy and advocacy campaigns, and building partnerships. 

We plan to spend £16bn over the next ten years, funding new discoveries in life, health, and wellbeing, and taking on three global health challenges: mental health, infectious disease and climate and health. 

These challenges need the bold science we support, but they won't be solved by science alone. 

We are looking for a Project Support Officer to join our team on a 12-month contract.

Where in Wellcome will I be working?

You will be part of the dedicated Finance Transformation Programme team reporting to the Finance Lead.

The finance transformation programme was launched with the aim of leveraging latest technology to improve the efficiency of the finance function along with increasing organisation wide engagement with financial data to make more effective strategic decisions. A critical component of the programme is the transition to a new finance system, the 12-month implementation of which will start in July 2024.

The dedicated programme team is responsible for the practical delivery of the programme and maximising the level of transformation achieved. The Project Support Officer will play a critical role in ensuring the smooth running of programme activities.

What will I be doing?

   

As a Project Support Officer, you will be responsible for: 

  • Programme activity co-ordination: scheduling meetings for all programme related activity as well as managing internal logistics for all in person meetings

  • Practical onboarding of programme resourcing; working with relevant teams to setup external service providers, consultants and staff on Wellcome technology platforms.

  • Financial management support; processing of all supplier invoices via Wellcome systems for payment, maintaining accruals for all incurred costs not yet processed to programme cost centres and supporting Programme Manager with quarterly forecast and budget exercises

  • Programme governance; scheduling of programme governance meetings with Wellcome Senior and Executive Leadership Team member representation, taking minutes of meetings and supporting programme manager with the maintenance of key programme monitoring documents.

  • Contribute to a diverse and inclusive culture across the organisation, collaborating across departments.

This role will suit individuals with experience in co-ordinating activity across a large-scale programme or with a large group of individuals/teams. We are looking for a dynamic individual who is driven and takes a pro-active approach to delivering their responsibilities. This role presents an exciting opportunity to work on an ambitious large scale transformation programme which will have an organisation wide impact.  

We are looking for someone with: 

  • General understanding of technology implementation project lifecycle

  • Experience working in a role which required interaction with multiple internal & external teams

  • Experience of Senior Leadership diary management and managing meeting scheduling and technology logistics

  • Experience in vendor payment management (processing invoices) and proficiency in using Microsoft Outlook and Teams

  • Ability to quickly building effective working relationships and ability to manage conflicting priorities

Our Hybrid Way of Working

We understand that our colleagues have commitments and personal interests outside of work and we strive to build a flexible working environment, in which people can perform at their best. We are currently working 2 days per week (Tuesdays and Wednesdays) from our Euston Road offices (as part of our hybrid Ways of Working) with the remaining 3 days working either remotely or in the office.

From 1st September 2024 we will move to 3 days in the office (Tuesday, Wednesday and Thursday) with the remaining 2 days working either remotely or in the office.
